PRIVACY NOTICE FOR WSA GROUP APAC JOB APPLICANTS AND CANDIDATES
1. INTRODUCTION
1.1. This recruitment Privacy Notice explains how the WSA Group (hereinafter "WSA", "we", "us", "our") collects, uses, discloses and protects your data when you participate in our recruitment and selection processes, including any personal data submitted through our careers or recruitment websites, appointed recruitment agencies, employee referrals, as well as our online and offline recruitment activities. This Notice only applies to candidates who submit applications for roles across our operations in the Asia-Pacific (APAC) region, including employees, internship, and contractor positions. This Notice will also cover candidates whom we find suitable for our open APAC positions based on publicly available profiles, as well as candidates who begin their pre-onboarding process, before they officially join us.
1.2. For the purposes of applicable data protection laws, the organisation responsible for handling your personal data will be the entity that manages recruitment activities in the relevant country, or the entity to which you have submitted your application (as applicable).
1.3. We encourage you to carefully review this Privacy Notice to understand how and why we are using personal data about you and what your rights are under the relevant privacy laws. By taking part in our recruitment process and sharing your personal information with us, you agree that we may collect, use, and handle your data as described in this Privacy Notice. 2. THE DATA WE COLLECT AND PURPOSES OF PROCESSING
We collect and process personal data about you in connection with your application for a job at WSA. The categories of personal data and the purposes for which we process them are:
2.1. WHEN YOU CREATE AND MAINTAIN AN ACCOUNT ON OUR WSA-HOSTED JOB PORTALS
2.1.1. We collect the following personal data from you to be able to create your account:
- Email address and password.
- Account settings regarding accessibility (recipients) of your profile and information about whether you wish to receive new job posting notifications and information about career opportunities.
2.1.2. We collect the following personal data from you, if you choose to populate your account:
- First name, last name, email, primary phone, address, city, country, state/province/region, travel preference, highest education level, region for school of study, country of school for study, name of school for study, employment visa sponsorship needed, resume, CV as well as further profile information (how did you hear about this position, detail of source, information on your work experience and education as well as professional certifications, language skills, geographic mobility etc.
2.1.3. The purpose of our processing is to maintain and deliver job application services to you through our job portal.
2.1.4. If you consented to it, we will send you new job posting notifications and/or information about career opportunities based on the preferences you have indicated in your account settings within the preference section of your profile. You may revoke your consent by changing your account settings in a way as not to receive new job posting notifications and/or information about career opportunities.
2.2. When you engage with us on our job postings
2.2.1. You may communicate with us through our job portal or third party recruitment platforms or via email (e.g., by asking questions regarding an application or about a position or your profile). In this context, we will process your personal data (including such that you disclose to us in connection with a query) to the extent required to respond to your query. We will not use such information for other purpose.
2.2.2. The purpose of the collecting and processing of personal data is to manage staffing and recruitment for WSA, being informed about who you are, as you are seeking a job with us, and to be able to assess the merits on which you are applying, to determine whether you are suitable for a position as well as to simplify and facilitate the recruitment process as such.
2.3. When you apply for a job opening
2.3.1. We collect personal data about you such as name, e-mail and pictures (if provided), answers to questions asked through the recruiting, titles, education and other information that you provided to us in or together with the application.
2.3.2. The purpose of the collecting and processing of personal data is our legitimate interest in managing staffing and recruitment for WSA, being informed about who you are, as you are seeking a job with us, and to be able to assess the merits on which you are applying, to determine whether you are suitable for a position as well as to simplify and facilitate the recruitment process as such, including contacting you regarding scheduling of job interviews, salary negotiations etc., if relevant.
2.4. When we review your application and collect additional information (sourcing)
2.4.1. We may collect additional relevant information about you from public sources, e.g. LinkedIn and Facebook, and from references, you have provided us.
2.4.2. The purpose of the collecting and processing of personal data to validate our candidates and facilitate the recruitment process as such.
2.5. When we make you an offer and begin the pre-onboarding process
2.5.1. If you are successful in your application, we will collect additional personal data to prepare your offer and initiate the pre-onboarding process. This may include your full legal name, residential address, national identification or passport details, work eligibility or visa information, bank account details for payroll setup, emergency contact information, and other documents required under applicable laws or internal policies.
2.5.2 Where permitted or required by law, we may also conduct background checks, which could involve verifying your education, employment history, and criminal record. These checks may be carried out by trusted third-party service providers acting on our behalf. We process this data to prepare your employment contract, verify your identity and right to work, comply with legal and regulatory obligations, and support internal onboarding procedures.
2.6. For legal purposes
2.6.1. We may also process your personal data if we reasonably consider it necessary for complying with legal or regulatory obligations, or if necessary for establishing, exercising or defending legal rights of members of the WS Audiology group.
2.7. Cookies and similar tools
2.7.1. When you use our job portal or recruitment websites, personal data about your behaviour is collected by use of cookies, if you consent to this. Personal data from cookies are used to remember your preferences and for statistical and marketing purposes.
2.7.2. We store your personal data on cookies for as long as it is necessary for the purpose(s) for which the data is/are being processed. For more information about how the individual cookies are stored, you can read our Cookie Policy.
2.8. Where permitted by applicable law and/or where you have provided any consent required by applicable law, the personal information we collect may include information that falls into one or more of the following categories of "Sensitive Personal Information":
- government-issued or tax identification numbers, as part of your identity information;
- race or ethnic origin, or information we incidentally receive as part of your identity documents or information processed for the purpose of applicant diversity monitoring;
- health, age and disability, for the purposes of making reasonable adjustments to the workplace in order to facilitate job interviews or information relating to infectious disease control.
- criminal records such as suspicions, prosecutions, allegations or convictions of criminal offences where necessary to protect WSA’s interest and legal compliance.
2.9. We do not knowingly recruit individuals or collect personal information from anyone under the age of 16, or under the minimum age as defined by applicable local laws. If we become aware that we have inadvertently received personal data from a minor without appropriate consent, we will take steps to delete such information as soon as reasonably possible.
3. DISCLOSURE OF YOUR PERSONAL DATA
3.1. With service providers. Your personal data may be shared with third parties who process data on our behalf when providing us with personnel and IT administration services. We do this to enable our hiring process, including for the purpose of hosting and supporting our IT systems.
We have entered into data processing agreements with all our processors to ensure that such processors are only allowed to process data in accordance with our instructions and to ensure such processors establish adequate organisational and technical security measures.
3.2. With WS Audiology. Only authorized employees with a need to know have access to your personal data; this includes sharing of your personal data on a "need-to-know" basis between our employees in the recruiting department. Certain executives, managers and employees at other companies of the WSA Group may also have access to certain personal data, however, on a “need-to-know” basis if there are legitimate business purposes (e.g., enabling employees in our shared service centers to arrange an interview or as required during an application process). We do so in order for WSA to administer applications and candidate information at a group wide level .
3.3. With your Recruitment agency. If you are represented and referred to us by a recruitment agency, we may be required to share certain information about your application and offer package with them, where they will independently handle your data as a separate data controller.
3.4. With your referees. In certain circumstances during our application and recruitment process, we (directly or through our background check vendors) may need to transfer your personal data to Referees provided by you. This transfer is necessary to assess your skills, qualifications, and suitability for the position applied for. We will only share the minimum necessary information with the referees to obtain their professional opinion and assessment, and will not disclose details of your position or offer package with your referees. By providing us with the contact information of your referees, you acknowledge and consent to the transfer of your personal data to them for the purposes outlined above.
3.5. For Legal and User Interests. We may disclose and use your personal information when we reasonably believe it's necessary to: (a) Satisfy any applicable law, regulation, legal process, or governmental request; (b) enforce our agreements, policies, standards, or other legal rights, including the investigation of potential violations; (c) Detect, prevent, or address illegal or suspected illegal activities, including payment fraud, security or technical issues; (d) Protect against harm to our rights, property, safety, security or that of our users or the public, as required or permitted by law; (e) protect infringements to third party intellectual property rights which we have been legally licensed / authorized to act on behalf of. This disclosure may involve sharing information with law enforcement agencies, public authorities, the third party intellectual property holders, or other organizations as strictly necessary.
3.6. Merger or acquisition. In the event of a merger, acquisition, reorganization, bankruptcy, or similar occurrences, your personal data may be transferred to advisors and the succeeding entity. We will make efforts to provide advance notice, share pertinent details about the event and the successor, and request the successor to handle your personal data in alignment with this Privacy Notice. Should the successor need to process your personal data beyond the authorized scope in this Privacy Notice, they will be responsible for notifying you, providing details about their intended processing, and obtaining your consent, and/or the consent of your parent and/or guardian (if applicable), as required by applicable laws and regulations.
4. TRANSFER OF YOUR PERSONAL DATA TO THIRD COUNTRIES
4.1. Due to the global nature of our organization and operations, international data transfers are necessary for us to provide our services. Your personal data may be transferred to, stored, and processed outside of the country in which you reside in, where the position will be based in, or where your responsible WSA entity is incorporated in. We have put in place appropriate safeguards (such as contractual commitments or recognized certifications) in accordance with applicable legal requirements to ensure that your data is adequately protected.
4.2. We are committed to ensuring the security and compliance of your personal data, regardless of where your data is processed or stored, and will take all necessary and appropriate measures to safeguard your information in accordance with applicable laws and regulation.

5. SECURING YOUR INFORMATION
5.1. We prioritize the security of your personal data and employ industry-standard measures to safeguard it against unauthorized access to or improper use. Our security practices include the use of organizational controls, technical protection, and other protection measures.
5.2. While we are committed to implementing robust security measures to ensure your data is not compromised when handled by us, it is also important to remember that your part is also critical to ensuring the security of your account. You can take some simple steps to enhance the security of your account, such as creating strong and unique passwords without easily guessable information, like your name or birthdate. Exercise caution when interacting with third party online content, and routinely update your passwords.
6. DATA RETENTION
6.1. We will retain your personal data you have provided on our WSA job portal for as long as you have a profile. Your profile will be deleted after 2 years of inactivity.

7. YOUR RIGHTS
7.1. You may have certain rights when it comes to the processing of your personal data. These rights may include the right to access, correct, delete, restrict the use of, or withdraw your consent to the processing of your data.
- Request access to your personal data. It allows you to receive a copy of personal data that we have recorded about you and ensure that we process it lawfully. You may send a written request to us via the contact details provided under “Contact Us”.
- The right to rectification. Request rectification of personal data that we hold about you. This gives you the opportunity to have incorrect or incomplete information we hold about you corrected.
- The right to erasure. You may have the right to have all or some of your personal data erased by us. To the extent that continued processing of your data is necessary, for example, to comply with our legal obligations or to establish, exercise, or defend legal claims, we are not obliged to delete your personal data.

7.2. In order to safeguard your privacy and ensure the secure handling of your personal data, you may be required to verify your identity or account ownership before we can accept or respond to your request. While we strive to accommodate all requests, we may decline or charge a fee for those that are unreasonable or unnecessary and permitted by applicable law. This includes situations that are clearly repetitive or excessive, could pose significant practical challenges, require disproportionate technical efforts, or introduce operational risks, such as the potential for fraud.
7.3. Kindly be aware that we may be obliged under applicable laws to collect and handle certain essential information. Failure to provide us with this information may hinder our ability to fulfil these legal obligations. In such situations your candidacy and suitability for the position being offered may be affected.
7.4. We believe in the importance of human judgment in recruitment decisions. While we may leverage technology—including tools to streamline administrative tasks and improve efficiency, no hiring decisions are made through automated processing.
7.5. Our recruitment team personally reviews all applications, ensuring a fair and comprehensive evaluation of your skills, experience, and overall fit for the role. Technology serves only as an aid in managing candidate information—never as a substitute for thoughtful, human-led decision-making.
7.6. If you believe that your data protection rights have been violated, you may also have the right to lodge a complaint with your local data protection authority.

WSAudiolgoy Korea receives all application materials, including résumés and cover letters, through online submission. However, in cases where applicants are unavoidably required to submit physical documents during the recruitment process, they may request the return of such documents in accordance with the “Fair Hiring Procedure Act.”

• Applicable Documents: Any documents and materials physically submitted by the applicant during the recruitment process

Please complete the official “Request for Return of Recruitment Documents” form (as designated by the Ministry of Employment and Labor), and submit it via the designated recruitment email within 180 days from the date on which the hiring decision was finalized.
The submitted documents will be returned by mail (postage paid by recipient) within 14 days from the date we receive the request form.
